Two categories of risk
When you work with business documents, the risk comes from two directions: unauthorized access (someone sees something they shouldn't) and loss (you can't find the file when you need it).
Signing certificates
Your digital certificate (.pfx / .p12) is the equivalent of a legal stamp. A few simple rules:
- Never send it by email or chat, not even between teammates.
- Upload it once, to an encrypted location, and use it straight from there when signing.
- Set who on the team is allowed to use it, not everyone needs that right.
Client documents
- Every document should be linked to a specific client, not sitting in a shared folder where anyone can see anything.
- Links to signed documents should expire or be protected, not stay public forever.
- Keep a history: who uploaded, who viewed, who signed.
Security doesn't mean making things harder to use. It means making the right thing also the easiest thing to do.
Bottom line
You don't need an IT department to get this right, you need certificates and documents to live in one place, with controlled access, not scattered across inboxes and phones. See how Voltzzflow handles this in Security & GDPR.
