How to organize client projects without chaos

Why projects turn into chaos

Most small teams start with spreadsheets and WhatsApp groups. It works until you have three clients, five projects and ten tasks at once. Then the questions start: who's handling this?, what did the client say?, where's the latest version of the file?

One place for each thing

The basic rule is simple: every piece of information has exactly one place where it lives.

  • Projects belong to a client and group the related tasks.
  • Tasks have an owner, a priority and a deadline.
  • Issues collect reported problems, with photos and video as evidence.
  • Documents sit next to the client, with signed URLs.

When everything is linked to the client, you stop searching, you open the client and see it all.

Make progress visible to the client

A timeline the client can see in their portal hugely cuts down on "how are we doing?" emails. The client sees the status themselves, and you get the time back.

Start with one client and one project. Move everything related to it there, then repeat.

Bottom line

You don't need a complicated process, you need one common place. When projects, tasks and documents live next to the client, the chaos disappears on its own.
